Hours per week: Approx. 20 (will range from 15 to 37.5 based on proximity to reunion events)   

Weeks per year: 18

Work Schedule: Majority of work will take place on campus (or in accordance with the Alumnae Association's remote work structure), Monday-Friday between 8 a.m. and 5 p.m.  Candidate must be available to work the weekends of May 21-22 and May 28-29. 

Job Purpose:

The Reunion Assistant provides support for the planning, development and implementation of Mount Holyoke's annual reunion events in May.

Core Job Duties and Responsibilities: 

• Coordinate with staff and faculty on work related to facilities for reunion events, including, but not limited to: --Alum programming, including tours receptions, back-to-class, parades and president’s state of the college address --Annual meeting of the Alumnae Association --Food service and meal planning

• Coordinate with outside vendors

• Coordinate transportation schedules for both reunion events

• Plan and schedule staff meals

• Assist with gathering and updating information for reunion materials

• Respond to reunion volunteer requests and inquiries regarding reunion; serve as a source of logistical and facilities information for alums in a timely manner

• Identify and coordinate production of all signs for reunion

• Assist with writing and proofing of reunion memos

• Assist the associate director of on-campus programs with management and analysis of reunion reports

• Oversee the assembly of reunion information packets and binders

• Supervise select reunion student worker positions

• Schedule and oversee class reunion photos

• Serve as staff for the two reunion events

• Other duties as assigned

Qualifications: • Associates degree preferred or equivalent work experience
• Strong written and oral communication skills
• Excellent customer service skills
• Thorough, precise and extremely detail-oriented
• High degree of initiative and ability to work independently as well as collaboratively
• Demonstrated ability to organize and manage multiple priorities and meet deadlines in a fast-paced environment
• Demonstrated ability to cultivate productive and positive relationships with a wide variety of constituents
• Ability to handle multiple demands and remain calm and patient during times of significant activity
• Flexibility and receptivity to change
• Ability to make quick decisions and redirect when presented with new and/or changing information
• Ability to operate motor vehicle (employee may operate 12-passenger campus fleet vehicles)

 

License/Certifications: US driver's license

 

Physical Demands: 

• Light work: Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force
frequently, and/or a negligible amount of force constantly to move objects.
• Talking: Expressing or exchanging ideas by means of the spoken word. Those activities in which employee must convey detailed or important spoken instructions to other workers accurately, loudly, or quickly.
• Sufficient clarity of speech required includes those which permit the employee to discern verbal instructions and communicate effectively in person and by telephone.
• Employee may talk in front of small groups.
• Employee speaks with alums, students and faculty by telephone, e-mail, or in person on a
daily basis.
• Hearing: Perceiving the nature of sounds at normal speaking levels with or without correction.
Ability to receive detailed information through oral communication, and to make the
discriminations in sound.
• Repetitive motion: Substantial movements (motions) of the wrists, hands, and/or fingers
• The employee is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; and extensive reading.
• Employee operates office equipment and computers to perform essential duties and
responsibilities.
• Employee is required to have visual acuity to operate motor vehicles.

Working Conditions: 

• Evening and weekend work is required during the two reunion events
• Some outdoor work (based on the nature of reunion activities)
