Department Summary & Job Purpose:

The Donor Relations Coordinator reports to the Director of Stewardship & Donor Relations, and is a key member of the team responsible for managing programs within the division that connect Mount Holyoke donors to the College. The Donor Relations Coordinator works closely with other members of the Stewardship & Donor Relations team, and frequently interacts with Advancement Services, College Communications, and other campus partners to implement a broad range of stewardship activities.


Core Job Duties and Responsibilities: 

  • Data entry related to endowed funds and endowed fund donors;
  • Research donors and gifts to ensure thoughtful and personalized acknowledgment letters are produced;
  • Proofread letters and other documents;
  • Oversee filing system (paper and electronic) for all files related to endowed funds. Coordinate with Research team and Advancement Services teams as needed;
  • Collaborate with team members to implement events;
  • Maintain and track inventory of donor gifts and provide data to team on expenses and uses of donor gifts;
  • On-site supervision of student worker, including hiring, evaluation, training and other support as needed;
  • Provide administrative support to staff in Stewardship & Donor Relations, including managing calendars, processing invoices, travel preparation, travel expense reimbursement and budget reporting;
  • Other assigned duties as needed. 

Qualifications: • Strong writing and editing skills
• Creativity and curiosity, a good problem solver, a self-starter.
• Excellent judgment and ability to prioritize and organize a diverse workload.
• Technical proficiency including word processing, spreadsheets, and database management. Advanced Excel skills a plus.

Preferred Qualifications: • At least two years of relevant experience in a professional environment.


Compliance Requirements: 

Physical Demands: Sedentary work: Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Sedentary work involves sitting most of the time.
Picking, pinching, typing or otherwise working, primarily with fingers rather than with the whole hand as in handling.
Employee operates office equipment and computers to perform essential duties and responsibilities.
The employee is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; and extensive reading.

Working Conditions: The employee is not substantially exposed to adverse environmental conditions. The employee will be expected to work in the office at least three days per week, with the possibility of working remotely two days per week.
