Department Summary & Job Purpose:

The Sr Payroll Specialist is responsible for accurate processing and recording of the College’s three payrolls – monthly, biweekly and student. The Sr Payroll Specialist is the subject matter expert on MHC pay policies to ensure accurate processing of employee payments.

Core Job Duties and Responsibilities: 

  • Daily data entry of payroll changes 
  • Setting up and processing payroll weekly
  • Process new hire paperwork, employee changes, and terminations
  • Process vendor payments
  • Process complex payroll adjustments and calculations
  • Investigate inquiries involving employee pay and resolve in a timely and satisfactory manner.
  • Troubleshoot problems, resolve errors, and escalate issues to management as needed.
  • Fund various accounts and process payroll interfaces
  • Ensures cyclical payroll tasks are completed in a timely manner
  • Assist in the reconciliation of quarterly and year end wage and tax statements, including 941s and W2s
  • Handles employment verifications, garnishments, IRS levies, and other miscellaneous compliance issues
  • Assist with gathering payroll documentation in response to internal and external audits
  • Assists with routine testing of payroll functions for ERP system updates
  • Coordinate payroll paperwork with out of state payroll vendor
  • Ensure compliance and adhere to College policies relating to processing of wages, benefits, and paid time off
  • Keep current with payroll and related regulations
  • Scanning and filing payroll-related paperwork into employees electronic files as needed.
  • Other tasks as assigned 

Qualifications: 

• Associate’s degree
• Minimum of 5 years of payroll experience or equivalent combination of education and experience
• Excellent customer service and interpersonal skills
• Experience with Microsoft Word and Excel
• Experience working with Colleague Ellucian or other payroll system
• Attention to detail and the ability to enter data with consistent accuracy
• Strong interpersonal and communication skills (verbal and written)
• Highly organized and efficient in managing time among conflicting priorities
• Able to adapt and remain positive during changes to processes and working conditions
• Ability to work as a member of a diverse, high functioning team
• Knowledge of payroll regulations
• Ability to multitask in a fast-paced environment

Preferred Qualifications:

• Knowledge of reconciliation and submissions of quarterly 941s

Physical Demands: 

• Sedentary work: Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.

Working Conditions: 

• The employee is not substantially exposed to adverse environmental conditions (such as in typical office or administrative work).
